How do we do medical transcription? At OTSI, we provide clients with cost effective, efficient and timely work through rigorous training in IT enabled services. We have installed confidential work procedures for meeting regulatory and internal management requirements.
What options do you offer for dictation capturing? Using our Transcription Application Service Provider (TASP) system, Files to Go, or FTP, doctors have the option of dictating into telephones (landline), cellphones, hand-held or PDAs, Dictaphones/PCs or Hospital/Clinic Systems.
Do you provide HIPAA compliant medical transcription services? Yes, we have executed technical and administrative actions, following HIPAA regulations, to safeguard the privacy and personal health information of patients. What's more, through computer technology, we can usually attend to any technical difficulties arising in the US from our end.
What security measures are taken while transferring the data? While clients send dictations from their computers to our secured servers or when their dictations are downloaded by our administrators from our US dial-in servers or FTP servers, 128-bit SSL encryption of data or 256-bit AES encryption of data is performed.
Are there any redundancies for your dictation and FTP servers? Yes, our secured servers are built with fault tolerant, mirrored drives. So we have a ready redundant system in case of any failures and a backup system if primary system fails.
How do you compute fees? Our fees are normally based on per line, where one line is 65 letters, including spaces. With special arrangement, we can also quote per page, per minute of dictation, etc, depending on client preference.
Do your medical transcriptionists sign confidentiality agreements? Yes, all of our transcriptionists and other staff sign a non-disclosure and confidentiality agreement before working with us. This remains effective for up to two years after their disassociation from the company.
What quality measures do you undergo? We have three levels of word-by-word quality check performed by our senior editors and proof readers. The Transcribed Documents are checked for any spelling errors, omissions, and formatting, etc., before they are uploaded.
Do you employ sub-contractors for our transcription work? No, all transcriptions are processed in the OTSI office premises, either by us or by our own affiliates in the Alliance, so we have better security and control over patient information.
How long do you maintain our dictations and transcripts? We usually delete voice files every four weeks and the transcriptions every six months. Although, we leave clients to decide how long we should archive their dictations and transcription charts.
How soon can you accommodate us? We can accommodate 10-20 doctors in two weeks.
How can I be confident of your Internet security issues? All communications between client’s computer and our server are protected with Secure Socket Layer encryption (SSL). No one can -listen in- the conversation between the computers. Client can confirm this by looking for the little padlock icon used by the Netscape and the Internet Explorer to designate a secure site. When a client registers with us he can get the advantage of this security and be assured that his data and patient information will be encrypted.
What is the turnaround time of OTSI’s medical transcriptions? General transcriptions will be available for client’s review and printing before 9 AM the following day, which is 24 hours turn-around time. Client can also select turnaround times to meet his needs - 24 hour, 12 hour, etc. Client may choose different default turnaround times by report type or can specify that with each report.
What is the cost of your service? We normally charge based on turnaround time and per line, holding the Billing Method Principles approved by the Medical Transcription Industry Alliance in 2001. The real rates come out very inexpensive in comparison to in-house or other outsourced agencies, by at least 30-60%, because of our innovative use of transcription methods.
Some of our competitors charge per hour of work - we charge per line transcribed. We believe our system is more transparent and better because the client knows upfront how much a project is going to cost.
When can you offer us a quote? We will be happy to quote a price after we determine the "scope of work." It is impossible to provide one set of price when no two clients want the same thing. We should evaluate and get an understanding of where and how can we save costs for the client.
How much can a doctor save by outsourcing transcription services to us? Our research shows that in-house transcriptions can cost as high as 40 cents per line. Our service, due to low operating costs, is guaranteed to save you as much as 25 to 60%, while maintaining utmost accuracy.
